JOb Description We are looking for an experienced and efficient Secretary to manage our administrative tasks. Your clerical and administrative support will assist office personnel and optimize workflow. Job duties include answering phone calls, organizing files, scheduling meetings, making travel arrangements, taking notes at meetings, typing up documents, inputting information into our database, and ensuring office supplies are stocked. Our ideal candidate is self-motivated and has at least one year of experience as a secretary or administrative assistant. Main Responsibilities 1.Enhances effectiveness by providing information management support. 2.Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. 3.Organizes work by reading and routing correspondence; collecting information; and initiating telecommunications. 4.Manages department schedule by maintaining calendars for department personnel and arranging meetings, conferences, teleconferences, and travel. 5.Completes requests by greeting customers, in person or on the telephone, and answering or referring inquiries. 6.Maintains customer confidence and protects operations by keeping information confidential. 7.Prepares reports by collecting information. 8.Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies. 9.Keeps equipment operational by following manufacturer instructions and established procedures. 10.Secures information by completing database backups. 11.Provides historical reference by utilizing filing and retrieval systems. 12.Maintains technical knowledge by attending educational workshops and reading secretarial publications. 13.Contributes to team effort by accomplishing related results as needed. Qualifications/Skills: 1.Administrative writing skills 2.Supply management 3.Scheduling 4.Microsoft Office skills 5.Professionalism, confidentiality, and organization 6.Travel logistics Education and Experience Requirements 1.University/college degree is an asset. 2.Previous experience, especially in particular industry, preferred.
